Royal Cars Rental – Vehicle Return Policy

1. Return Window

  • Vehicles must be returned on the agreed date and by the agreed time.

  • A grace period of 59 minutes applies; returns after this incur a late‐fee.

2. Return Location

  • Return to the original pickup location unless prior written approval is obtained for a different drop-off point.

  • After-hours returns must be arranged in advance; keys and vehicle condition report go in our secure drop-box.

3. Vehicle Condition

  • Return the car in the same condition it was rented, inside and out, with no new damage, dents or scratches.

  • All personal belongings must be removed; any items left will incur an administrative disposal fee.

4. Fuel Policy

  • Vehicles are issued with a full tank; returns must also be full.

  • If not, a refuelling charge applies at the local pump rate plus a Β£15 service fee.

5. Mileage & Usage

  • Unless on an unlimited-mileage plan, excess miles are charged at Β£0.25 per mile.

  • Unauthorized off-road use, track driving or towing voids insurance and incurs penalty fees.

6. Damage, Loss & Cleaning

  • Any new damage or missing equipment is charged at repair or replacement cost, plus a Β£50 administration fee.

  • Excessive interior cleaning (e.g. pet hair, spills, odors) incurs a Β£75 minimum cleaning fee.

7. Tolls, Violations & Charges

  • You are responsible for all tolls, traffic fines, parking tickets and related administrative fees.

  • Unpaid charges passed to us incur an additional Β£25 processing fee per incident.

8. Late Returns

  • Returns more than 1 hour late incur Β£25 per hour (or part thereof) up to the daily rate.

  • Returns more than 24 hours late are treated as a new rental and may incur full daily charges plus any impact on following bookings.

9. Extensions & Early Returns

  • Extension requests must be submitted at least 4 hours before the scheduled return time; subject to availability.

  • Early returns are welcome; you’ll be charged only for time used, provided no special rate or prepayment terms apply.

10. Deposit Refund

  • If no additional charges apply, your security deposit is released within 5 business days of return.

  • Any outstanding fees or damage costs will be deducted before release.

11. Inspection & Dispute

  • A joint vehicle inspection will be conducted at drop-off; you will receive a copy of the condition report.

  • Disputes must be submitted in writing within 7 days of return to info@royalcarsrent.com.
